Client Management & Dashboard 🎁

Client Management helps agencies manage clients and their projects in one place — without juggling tools or spreadsheets.

Instead of only organizing work by project, you can now see the full client relationship inside Upbase.

Who can access Client Management

Only workspace owners and admins can access the Client Management page right now. Support for member-level permissions is coming soon.

Don’t see the Clients menu?

If you’re an owner or admin but don’t see Clients in the top sidebar, it may be hidden.

To check:

  1. Open Sidebar customization
  2. Make sure Clients is enabled and not hidden

Once enabled, the Clients menu will appear in your sidebar.

What is a client in Upbase?

In Upbase:

  • A client represents a company you work with
  • Guests are users from that company who are invited into your workspace.

Each client can have multiple projects, users, files, and notes — all grouped together.

Client list page overview

This page shows all your clients in one place and helps you quickly understand who you’re working with and what’s active.

1. Active / Archived clients

Switch between Active clients and Archived clients.

  • Active: clients you’re currently working with
  • Archived: past or inactive clients you’ve hidden from your main list

2. Tags filter

Use Tags to filter your client list.

This helps you quickly find clients by category, service type, priority, or any custom label you’ve set.

3. Client tags

Tags assigned to each client.

They give quick context at a glance (for example: SEO, Ads, VIP) and help with filtering and organization.

Click in this column to add, update, or remove tags for a client.

4. Manage guests

Open the Guests page (Settings → People → Guests) to manage guests (client users).

Here you can:

  • Add or remove client users (guests)
  • Update which clients a guest is associated with

If you add a guest without linking them to a client, you can assign them later by going to the Guests page, clicking Edit guest, and selecting the appropriate client.

5. Add client

Click Add Client to create a new client.

6. People

Shows the number of client users (guests) associated with the client.

7. Active projects

Shows how many active projects belong to each client.

This helps you quickly understand workload and client scope at a glance.

8. Client actions

Open the more actions menu for a client.

From here, you can typically:

  • Rename client
  • Archive or unarchive the client
  • Delete client

Important:

If you delete a client, their users (guests) are not deleted. They will simply be unlinked from that client.

To fully remove client users, you must delete the guests before deleting the client.


Sort clients by column

You can quickly sort your client list by clicking any column header.

Available sorting options include:

  • Clients – sort by client name
  • Tags – sort by assigned tags
  • People – sort by number of client users
  • Active projects – sort by number of active projects

Click a column header once to sort in ascending order, and click again to reverse the order.

This makes it easy to find clients, spot high-activity accounts, or organize your list the way you prefer.


Client details

Each client has a dedicated space where you can view and manage everything related to that client.

Inside each client, there are three main pages:

  • Details – store client information, users, notes, files, and links
  • Timesheets – view and export time tracked across all projects for that client
  • Dashboard – see a high-level overview of all client projects

These pages help you manage the full client relationship without jumping between projects.

Client Details page

The Details page is the central place to store and manage all essential information about a client.

It helps your team understand the client quickly, keep important context in one place, and avoid digging through projects for basic details.

Client info & notes

This section stores core client information and internal notes.

You can use it to record:

  • Company details (name, website, address, phone, industry)
  • Important internal notes and reminders
  • Client-specific context your team should always know

These notes are internal and help maintain long-term client knowledge, even as team members change.

Guests

The Guests section shows all client users (guests) linked to this client.

From here, you can:

  • See who the main client contacts are
  • View their roles and email addresses
  • Invite new client users to this client

This makes it easy to know who to communicate with and who has access.

Files

Use Files to store important client documents in one shared place.

Common examples include:

  • Contracts and MSAs
  • NDAs
  • Project briefs
  • Billing or payment documents

Files added here are tied to the client, not a single project, so they’re easy to find and reuse across work.

Client timesheets

You can now view timesheets by client, across all of their projects.

What you can do

  • See total tracked time for a client
  • View time entries from all related projects
  • Export client timesheets with one click

No more filtering timesheets project by project.

Client Dashboard (Internal)

The Internal Client Dashboard is designed for you and your team — not for clients.

It gives you a high-level view of everything happening across all projects for a client, in one place.

Instead of switching between projects, you can see the full picture of the client relationship at a glance.

With the Internal Client Dashboard, you can:

  • Stay aligned across all client projects
  • Follow up with clients proactively
  • Spot risks and delays early
  • Keep long-term client context in one shared place

1. Projects overview

This section shows all active projects for the client.

For each project, you can see:

  • Project name
  • Current status (On track, At risk, or Off track)
  • Task completion percentage
  • Due date
  • Project owner

This gives you an instant snapshot of how each project is progressing and where attention is needed.

2. Client action required

This widget shows all tasks assigned to client users (guests).

Tasks here are:

  • Sorted by due date
  • Grouped across all projects

Use this section to quickly see where you’re waiting on the client and follow up before projects get blocked.

3. Upcoming

This section shows upcoming tasks across all client projects, based on due date.

Tasks in this list:

  • Are not assigned to client users (guests)
  • May be internal-only or shared with clients
  • May be assigned to a team member or unassigned
  • Are sorted by upcoming due dates

Use this section to see what work is coming up next and ensure nothing is missed across projects.

4. Overdue

This section shows overdue tasks across all client projects, based on due date.

Tasks in this list:

  • Are not assigned to client users (guests)
  • May be internal-only or shared with clients
  • May be assigned or unassigned
  • Are past their due date and need attention

This helps you quickly identify overdue work that could impact timelines or client expectations.

Important: Tasks without an assignee and without any watchers will not appear in the Upcoming or Overdue widgets, even if they meet the due date conditions.

To make sure a task shows up, assign it to someone or add at least one watcher.

Note: The task creator is automatically added as a watcher.

5. Recently completed

This section shows tasks that were recently completed across all client projects.

You can filter this list by:

  • Completed on (for example: this week, last week, last 7 days, last 30 days)
  • Completed by (see who completed the work)

This is helpful for:

  • Reviewing recent progress
  • Preparing status updates
  • Understanding team contributions

6. Internal notes

Use Internal Notes to store important client context that shouldn’t live inside a single project.

Common uses include:

  • Kickoff summaries
  • Open questions or risks
  • Ongoing status notes
  • Long-term client insights

These notes stay with the client and help preserve knowledge over time.

7. Internal resources

This section stores internal-only files and links related to the client.

Examples include:

  • Master Service Agreements (MSAs)
  • Billing or payment trackers
  • Design files or strategy docs
  • Internal reference links

These resources are private and accessible only to your team.


Dashboard top bar controls

The top-right menu on the Client Dashboard helps you refresh data, filter tasks, focus on specific projects, and customize what you see.

1. Refresh

Click Refresh to update the dashboard data.

Use this when you:

  • Make changes to tasks directly from the widgets
  • Update task status, due dates, or assignments
  • Want to make sure the dashboard reflects the latest changes

This ensures all widgets show the most up-to-date information.

2. Filter by task visibility (In progress - coming soon)

Use Tasks to filter tasks based on visibility.

You can choose:

  • All tasks – show both internal and client-visible tasks
  • Visible to guests – tasks shown on the client-facing dashboard
  • Private to team – internal tasks only, hidden from clients

This helps you control what you’re reviewing without changing task settings.

3. Filter by active project

Use Projects to filter the dashboard by project.

You can:

  • View tasks from all active projects
  • Focus on a specific project within the client

This is useful when a client has multiple projects and you want to narrow your view.

4. Customize widgets

Use the Customize option to control how the dashboard is displayed.

You can:

  • Show or hide widgets
  • Change the order of widgets

These changes affect your internal view only and help keep the dashboard focused and clutter-free.


Client-facing Dashboard

Each client user (guest) gets a dedicated dashboard when they log in to your workspace.


This dashboard is similar to your internal dashboard, but it only shows client-visible tasks and updates. Guests won’t see internal-only work or notes.

This ensures clients stay informed without exposing internal details.

From their dashboard, clients can easily see:

  • What needs their input right now
  • What was completed recently
  • What’s overdue or coming up next across all their projects

By giving clients a clear, up-to-date view of their work, you reduce status questions, avoid unnecessary follow-ups, and keep everyone aligned.


FAQs

What’s the difference between a client and a guest?

A client is a company; guests are individuals from that company invited to collaborate in Upbase.


Can I have clients without guests?

Yes. You can create a client even if no guests are added yet.


Can a guest belong to more than one client?

No. Each guest can only belong to one client company.


Will the Clients menu appear for everyone?

The Clients menu is only visible to admins and the workspace owner.


Can I archive a client?

Yes. Use the three-dot menu next to the client name → Archive.
