Invite clients to your workspace


In Upbase, Clients are guest companies.

When you add a client, you’re adding a company, not an individual person.

People from that company are called Guests.

Guests are usually client users, even though the term can also include external contractors or freelancers.

In short:

  • Client = a company
  • Guests = people who belong to that client

There are two ways to invite clients to your workspace.

Option 1: Invite clients from Client Management

This is the most common way.

  1. Go to Client Management and add the client company.
  2. Invite the people (guests) who belong to that client.

This works best when you want to set up a client first, then invite their users.

Step 1: Add a client

Go to the Clients list and click "Add client".


Enter the client name (you can also add tags if needed).


Step 2: Invite client users (guests)

To add a client to projects, you’ll need to invite their users first.

Open the client you just created and click Invite Guest.


Enter the guest name, email address, job title (optional), and choose which projects to add them to (optional).


Inviting multiple guests at once

You can invite several guests at the same time:

  • Enter multiple email addresses, separated by commas.
  • Leave the Job Title field empty.
  • You can edit each guest and add their job title later.

Option 2: Invite clients from a project

You can also invite a client while working inside a project.

  1. Open the project and go to Project settingsPeople.

  2. Click Invite guests.

    In the New guests tab:

    • Enter the guest’s email address
    • Enter a new client name the guest belongs to

  3. Send the invite.

Upbase will:

  • Create the client
  • Link the guest to that client
  • Invite the guest to the project

All in one step.


What happens next?

  • Guests receive an email invitation.
  • They click Go to workspace, sign up (or log in), and then click Join now to accept the invite.


If a guest clicks “Decline” by mistake

No worries.

Just remove the guest from the client and send a new invite.
