Custom fields
With Upbase's Custom Fields, you can add specific data fields to your tasks, enabling you to tailor your project management experience to fit your unique needs.
Whether you're tracking project budgets, deadlines, priority levels, or client details, custom fields give you the flexibility to organize information exactly how you want.
Add custom fields
Custom fields can only be added at the list level. When you add a custom field to a list, it will appear in all tasks and subtasks within that list.
There are a few ways to add a new custom field to your list:
In the List View
In the Task Details view
In the List Settings/Custom Fields view
Manage custom fields
To manage your custom fields, click the ellipsis icon next to the list name and select "Custom Fields" to open the Custom Fields page for that list.
On this page, you can view, add, edit, and delete all your custom fields.
- Active Custom Fields: All active fields in the list, including private custom fields for this list only and global custom fields that are activated for the list.
- Global Custom Fields: This section will contain all existing global custom fields that have not yet been activated for the list.
Private vs. Global Custom Fields
When you add a new custom field to a list, it starts as a private field for that list. If you want to use a field across multiple lists, you can make it a global field.
To make a field global, turn on the "Global custom field" toggle when creating or editing a field.
Important:
- Only the workspace owner or an admin has permission to turn a private field into a global field.
- Regular members can add a global custom field to a list or remove it, but they cannot edit or delete a global custom field or convert a private field into a global field.
- Once a global custom field is used in two or more lists, it cannot be changed back to a private field, and the "Global Custom Field" toggle will be disabled.
All global custom fields will be visible in the "Global Custom Fields" section in all lists. Any list member can click the toggle buttons next to the fields to add them to the list for reuse.
Custom Field Notifications
You can turn on notifications for any new or existing custom field by enabling the "Send Notifications" toggle.
Delete and Restore Custom Fields
When a custom field is deleted, it is moved to the Trash page. You can restore it from there. All members in a list can delete private custom fields for that list. The workspace owner and admins can delete any custom field, including global custom fields.
Permissions
- Any list member can create, edit, and delete private custom fields.
- Only the workspace owner and admins can convert a private custom field into a global custom field.
- Only the workspace owner and admins can edit or delete global custom fields.
- Any member can add or remove global custom fields from a list.
- Custom fields are visible to guests in a list. They can use them but cannot create, edit, or delete them.
