Organize and filter tasks with tags

Tags are pieces of metadata you can add to tasks to group and organize them across projects.

For example, you can add an Urgent tag to tasks that need immediate attention—no matter which project they belong to.

Why use tags?

Tags make it easy to:

  • Add context to tasks at a glance
  • Categorize work across multiple projects
  • Search and filter tasks quickly in your workspace

They’re especially useful when managing many projects or client tasks at once.


Tag permissions

Tags live at the workspace level and are available to all members across all projects.

  • Tags are public—you can’t create private tags
  • All workspace members can create new tags
  • Workspace owners and admins can edit or delete any tag
  • Regular members can only edit or delete tags they created

Tag Manager

You can manage all tags from the Tag Manager in the left sidebar, under Projects.

From the Tag Manager, you can:

  • Create new tags
  • Edit existing tags
  • Delete tags
  • Organize tags into groups

Tag groups

Tag groups help you organize related tags, similar to how folders organize projects.

How tag groups work

  • Tag groups are for organization only
  • They don’t have settings or permissions
  • Individual tags always appear at the top, above groups

You can drag and drop tags to:

  • Reorder them
  • Move them into or out of groups
  • Move tags between groups

Filter tasks by tag across the workspace

To filter tasks across all projects:

  1. Click a tag name in the left sidebar.
  2. View all tasks with that tag, across the workspace.

Upbase tip: You can bookmark this filtered view for quick access later.

Edit a tag

You can change a tag’s name and color.

To edit a tag:

  1. Hover over the tag in Tag Manager
  2. Click the icon
  3. Select Edit

Delete a tag

To delete a tag:

  1. Hover over the tag in Tag Manager
  2. Click the icon
  3. Select Delete
  4. Confirm the deletion
  • Deleted tags are removed from all tasks
  • Deleted tags can’t be recovered

Show or hide the Tag Manager

You can control whether the Tag Manager appears in the sidebar.

To show or hide it:

  1. Go to Settings → Customize sidebar
  2. Toggle the eye icon next to Tags

Tags help you stay organized across projects, clients, and workflows—making it easier to find and manage the work that matters most.
